Building information and policies
Conference rooms
CSU System conference rooms are available for staff to reserve. If you would like to reserve a room, include the respective conference room email address (in the above linked document) in your calendar meeting invite, and you will either receive a confirmation or a decline if the room is already in use at that time.
If you anticipate IT or AV needs, please also include [email protected] on the calendar meeting invite so that it will be on IT’s radar to assist. You may also submit a ticket to [email protected] and provide more detailed information about your request.
These are shared spaces amongst all partners. Please ensure you leave the space the way you found it, by cleaning up after any meetings. This includes, but is not limited to:
- Throwing away all trash
- Placing dishes in the dishwasher and returning any unused to cabinets or shelves
- Pushing chairs back in
- Cleaning off tables
- Tidying up room
- Turning off lights
Elevator and suite access
Access to elevators and the suite is granted only to individuals who will be regularly visiting the System office.
RamCard requirement for CSU employees:
- A RamCard is necessary to gain access to the office elevators and suite.
- Follow the internal procedure for acquiring a RamCard if you are a new or recurring visitor who requires regular access.
- Once you have your RamCard, please visit the front desk of the System office in person.
- The admin team will then confirm the necessary access credentials for the elevator and suite.
- Ensure that your RamCard is used only by you and is not shared with others.
- For lost or stolen RamCards: You MUST Immediately report any lost or stolen RamCards to the admin team and follow the protocol for card replacement.
For non-CSU employees who require access, please reach out to the admin team to discuss options.
Emergency protocol
Fire alarm
- Upon alarm, follow instructions of floor wardens.
- If instructed by your floor wardens, by an announcement made over the building-wide PA system, or if your area is affected by fire or smoke, evacuate via the stairwells located in the core of the building (FOLLOW THE EXIT SIGNS TO STAIRWELLS).
- Make sure all stairwell doors are closed completely.
- Do not try to re-enter on other floors unless instructed to do so — follow the stairwells to the egress level and follow the directional signs to safety.
BE SAFE: If you SMELL smoke, call the building lobby desk at 303-292-5969. If you SEE smoke, pull a “pull station,” proceed to the stairwells, and use the stairwell intercoms to notify the lobby desk of your situation.
Bomb threat
- Fill out as much information as possible on the bomb threat checklist during the call.
- Upon receiving a threat, call 911 and explain the situation.
- Call the building lobby desk at 303-292-5969 and explain the situation.
- Check the most public areas of your space for any suspicious packages, objects, or activities, and monitor your space for any suspicious activity.
Power outage
- Remain calm. The emergency generator will operate within 20 seconds. DO NOT EVACUATE!
- Do not attempt to use elevators — all elevators will return to ground level, and then only one per bank will operate under emergency power, so please limit use.
- Only emergency systems will have power, including minimal lighting. (Restrooms are not equipped with emergency power — please do not use.)
- Relocate to an area near the windows and await instructions from building staff via the building-wide PA system.
Medical emergency
- Call 911 and explain that it is a medical emergency.
- Call the building lobby desk (303-292-5969) and provide the attendant with the location to which to send emergency personnel.
- Have someone wait in the floor elevator lobby to direct emergency personnel.
Evacuation
- Evacuate if: you are instructed by your floor wardens; you see fire, smoke, or another hazardous condition on your floor; or if a PA system announcement directs you to evacuate.
- DO NOT USE ELEVATORS. Follow exit signs to the building stairwells, make sure the stairwell doors are closed behind you, and proceed down the stairs. Stay on the right in order to keep the left side clear for emergency response personnel. DO NOT TRY TO RE-ENTER the building on another floor unless instructed to do so — follow the stairs all the way down to the egress level, where you will be directed to safety.
Flex office requests
The 10th floor of the CSU System office suite offers at least nine flex workspaces for staff use on any given day. If you are planning to work from the System office and need a workspace, please follow these steps:
Create an all-day calendar invite for the desired date, inviting the desired flex office email address:

Title the invite your name and the flex office name (ex: John Smith – Gold Flex Office). Also invite the CSUS 555 Spaces calendar ([email protected]), and include anything that you think the admin team should know in the notes.
Send the invite and you are all set!
IT support
Ticket submission:
- Please email [email protected] to create support tickets for technical needs.
- Include as much detailed information as possible about the issue to ensure prompt and effective assistance.
Calendar invitation for IT support:
- For VIP meetings held at 555, please ensure you invite [email protected] to the meeting invitation. This allows the IT team to be aware of and prepare for any technical requirements or support needed during the meeting.
- Please identify a point person for the IT team if any questions arise.
- In certain situations, there may be an IT/AV charge for events held at the 555 offices from the Division of IT.
Kitchen and refrigerator
The 555 kitchen area is a shared space, where supplies are shared amongst all partners. Please clean up after using this space.
- Make sure to put dishes in the dishwasher if the sign is switched to dirty.
- The drinks in the fridge and snacks in the cabinet are for all to enjoy.
- Coffee is available for all staff and guests on most days (when there are more than a handful of people in the office). Staff members can feel free to make coffee at any time if it’s not already available.
To ensure the shared refrigerator remains clean, hygienic, and organized, we will be managing and disposing of old or expired food items in a fair and consistent manner.
- All items should be consumed or removed within one week of being placed in the refrigerator. Items that are intended to be stored for longer periods (e.g., large quantities of food) should be clearly labeled with a “use by” date and should be reviewed weekly.
- The refrigerator will be cleaned out every Thursday afternoon. Items that are expired, unlabeled, or have been in the refrigerator for more than one week will be removed and disposed of (unless otherwise notified).
- Items that are intended for communal use (e.g., condiments, communal snacks) will be monitored separately, and any issues will be addressed as they arise.
Meetings with VIPs and external visitors
Notification:
- Inform internally: Notify both IT and admin team about any large meetings with external guests. This helps with overall coordination and preparation.
Access and logistics:
- Please plan to meet external guests downstairs and escort them up to the suite to avoid any confusion.
- Doors and elevators: If necessary, you can request the doors and elevators be unlocked during the meeting time. This can be done by contacting the admin team.
- Preparation: Plan and make these notifications well before the meeting date to ensure all logistical and technical aspects are handled efficiently.
- IT support: [email protected] should be included on any calendar invites for large meetings.
Office supply storage
CSU System staff and CNEE staff primarily use office supplies and the printer on the southeast side of the suite (next to the kitchen); the printer is named “BOG East.”
CSU Global staff primarily use office supplies and the printer on the northwest corner of the suite (next to collaborations space); the printer is named “BOG West.”
Parking
For those employees who are planning to work from the CSU System office once a week, Maddie will be able to provide parking validation for the 555 parking garage, 1755 Glenarm Place. In the event that the 555 parking garage is full, we will have validations for overflow parking at the Plaza parking building one block away, 1820 California Street (corner of 18th and California).
If you anticipate that you will be working from the office more than once a week and don’t already have a parking arrangement in place, please reach out to Stacy to discuss options.
Carpooling is encouraged!
Recycling and shredding
- Cardboard: All cardboard boxes must be flattened and broken down before disposal. Please place them on top of your recycle bin or just outside your office nicely stacked against the wall.
- Standard household batteries: There is a battery recycling bag in the east copy room (next to the kitchen).
- Shredding is picked up monthly by the vendor. You may deposit any work-related documents to be shredded in the box located in the east copy room (next to the kitchen).
Work orders and facility requests
All work order requests for building-related issues can be sent to the admin team by compiling the information and following the steps below.
- Details: Clearly identify and describe the problem or malfunction (e.g., flickering lights, leaking faucet).
- Location: Note the exact location of the issue within the office to assist in quick resolution (e.g., Moby Conference Room, near the window).
- Date and time: Include the date and time when the issue was first noticed.
- Description: Provide a detailed description of the problem, including any steps already taken to address it, if applicable.
- Email request: Once all information is compiled, email the request to [email protected] and cc: [email protected].

Communications
- Submit a design request with University Marketing & Communications for marketing materials, business cards, name badges, or other designed collateral
- Overall communications questions and direction should be directed to [email protected].
- Content-related needs, such as stories and media, should be sent to [email protected].
- Updates and needs related to websites, event registration, interest forms, and newsletters should be sent to [email protected].

Aug. 20, 2024: Happy Tuesday team! We’ve had some busy days at the 555 office! We were happy to welcome the HCM group, who hosted 20-30 people in our conference rooms last week! As campuses are welcoming back students and parents are sending students off for the first week of classes, I hope everyone is enjoying the fresh start and excitement of a new academic year!
